Qualities of an Exceptional Executive Assistant

If you are looking for a job as an executive assistant, you probably know what type of position you’d like to land. Do you also know what executives are looking for in a candidate? While your specific responsibilities will depend on the company (and person) you work for, there are a number of essential qualities that all successful executive assistants share.

Strong communication and interpersonal skills. Executive assistants are constantly using their written and verbal communication skills, whether they are scheduling meetings, responding to emails, screening phone calls, or composing memos. In addition, day-to-day responsibilities usually include extensive coordination between different departments and people, so having strong interpersonal skills is a major advantage.

Professionalism. As an executive assistant, you represent both your boss and the organization you work for. Therefore, it is highly important that an executive assistant present a professional demeanor, always arrive on time, dress professionally, and address others an appropriate manner. In addition, many executive assistants are called upon to work with confidential or sensitive information, requiring the highest level of on-the-job seriousness.

Computer Literacy. There is no doubt about it: today’s office environment demands a wide range of computer skills, from email and calendar programs like Microsoft Outlook, to presentation software like PowerPoint. The more you dominate technology, the more you will be an asset to your company.

Organization. Executive assistants are essential to maintaining office productivity, and busy executives rely on their help tremendously. Great assistants are always on top of their game -- managing schedules, keeping an up-to-date action list, and effectively juggling multiple (and ever-changing) tasks.

Initiative. In most fast-paced and high-powered work environments, executives do not have time to micro-manage the daily activities of their assistant. The best executive assistants anticipate their boss’s needs, find creative solutions to problems, and are able to think on their toes when a problem arises.
